Inquiries
If you are
contacted by a reporter or are planning on speaking
to the media, please notify the Communications Office
immediately.
The Communications
Office offers training on how to successfully communicate
via the media, including crisis communications. Please
contact us to arrange a training.
Public
Records Requests
1. If you
receive a request for public information (including
but not limited to email, documents, tapes), contact
Joan Tritchler, Kerry MacDonald,
or Peggy Marshall in the
Communications Office immediately.
- If the request is in writing (email or letter),
take it to the Communications Office and we will make
the necessary response.
- If the request is verbal, please refer the requesting
party to our office or forward the call to us. (Take
the person's name and phone number before forwarding
a call).
A request
for public information has many legal ramifications,
procedures and timelines. Therefore, it is best to have
the Communciations Office manage the process. We will
be able to ascertain the nature of the request, the
necessary forms and responses required, and estimated
timelines and costs. You may be involved in this process,
or it may involve other program personnel.

Press
Releases
In addition
to maintaining regional media contact lists, the Communications
Office offers public relations consulting and support,
including writing and distributing press releases. We
will assist in designing an effective release, and help
determine the appropriate media outlets.
Press releases must be submitted to
the Communications Office prior to public release.
For releases that are time-sensitive
or related to a specific event , be sure to allow enough
lead time for your item to be included. Many newspapers
require 10-14 days for inclusion in event calendars,
etc.
